How Oh My Mood is Boosting Therapist Job Satisfaction with Whereby

As a fast-growing mental health care provider in the Netherlands, they’ve embraced remote therapy to serve a diverse client base across the country and beyond. Founded in 2019 with a team of three therapists, Oh My Mood has grown to over 90 employees and more than 1,600 clients in six years. And with that growth came the need for a secure, intuitive video conferencing solution that could scale with them.

We caught up with Annelou Engwegen (Lead Business Controller) and Jaime Essed (Founder & CEO) to unpack how Whereby Meetings and Embedded have become an essential part of this journey.

The scalable solution for a growing team

Shortly after they launched, Oh My Mood began using Whereby Meetings for day-to-day therapy sessions, internal meetings, and collaboration between teams.

In addition to offering a fully integrated experience within their app, the team wanted to cut down on clinician administrative time using Whereby Embedded features like transcriptions.

When making a big change, there’s always a fear that the transition will be complicated, time-consuming, and met with resistance. The Oh My Mood team anticipated that therapists might be hesitant to adopt a new tool and worried that the setup process would disrupt their day-to-day work.

However, the reality was the complete opposite. Whereby Embedded was so intuitive and seamless to implement that, within just a week, every therapist was using it confidently, and clients were easily finding their therapist’s virtual room.

This quick adoption meant therapists could focus on what matters most: the therapy session itself. Today, every therapist has their own room, new rooms are created as part of the therapist onboarding process, and the system is designed to scale as the company continues to grow.

Also, many therapists now finish their reports immediately after each meeting, freeing up valuable time and making their workday feel far more productive and fulfilling.

Transcriptions: The feature boosting job satisfaction among therapists

One of the key drivers for switching to Whereby Embedded was the ability to access a richer set of features that aligned closely with Oh My Mood’s growing needs.

One of these features is transcriptions, which generates a transcript after every therapy session hosted in a Whereby Embedded room. With the transcripts from Whereby sessions, therapists at Oh My Mood can create notes and draft reports.

“Therapists like having sessions with their clients, but they don’t like to write down all the reports or do all the administrative work, because it takes up a lot of time. With transcriptions, the administrative tasks become way less. They can now focus on the actual treatment, which is what they studied for and what they love to do.” - Annelou

This feature has been transformative for therapists at Oh My Mood as it has significantly improved job satisfaction for practitioners. By taking out much of the administrative burden, this feature gives practitioners the headspace and time to fully concentrate on their clients without missing any vital detail.

Transcriptions have equally had a noticeable impact on productivity because therapists are now able to wrap up their notes and reports using the transcripts after each session. It has helped them manage their caseloads more effectively while creating a more balanced and rewarding work environment.

Secure and easy to use for therapists and clients alike

With mental health care involving sensitive personal information, using a video call solution that prioritizes security and privacy compliance was non-negotiable for the Oh My Mood team.

Whereby’s platform provides the robust privacy and security measures needed to meet strict regulations and protect the company’s users.

But beyond compliance, Oh My Mood equally needed a platform that would be easy to use for clients, some of whom may already be in distress, and therapists juggling multiple cases. The easy-to-use nature of Whereby sessions helps them make mental health support more accessible.

Each therapist has their own secure room link, making it easy for patients to join recurring sessions without the hassle of finding an updated link at the start of every session.

The team also noticed that when meeting external organizations on other video call platforms, people were often late because they couldn’t open the app or had other technical issues. Whereas with Whereby, everyone was always on time, which was a real plus.

Jaime mentioned that they’ve found the Whereby Support and Success teams to be highly responsive, open, and proactive, noting this as another positive aspect of their experience. They’ve felt genuinely supported throughout the integration process, and as they continue to explore new use cases.

What’s next: Creating a fully integrated mental healthcare system

Looking ahead, Oh My Mood plans to continue building out its custom mental health platform, tying session data, reports, and treatment plans into a better patient experience.

The company is growing rapidly across Europe and building a fully AI-assisted mental health platform designed to cut down on admin work and improve clinical outcomes. The goal is to scale in a way that never loses the personal touch, showing that technology and empathy can work hand-in-hand in mental health care.
